New clarification added: Dear Bidders, Please see below the clarifications provided against the request received from the interested bidder:Clarification Request :1.In the RFP Section III form C Returnable Bidding Forms (Technical Requirements) item 1: 6mx3m weatherproof outdoor LED screen, cabling, devices and associated equipment.Clarification Request: Outdoor large screen LED. Generally, the minimum P value is P2.5, but the technical parameters require P2. Please let us know if P2.5 is acceptable.Response: The outdoor LED screen should have a pixel pitch of 2mm.Clarification Request:2.Section III form C item 2: Outdoor line-array speaker, cabling, devices and associated equipment.Clarification Request: There is no such small line array speaker in the industry. Please let us know if 60W outdoor waterproof column speaker is acceptable.Response: The outdoor line-array speaker specification stated is the minimum. Any line-array speaker with a better specification including power is acceptable.Clarification Request :3.Section III form C item 3: Front loudspeaker, cabling, devices and associated equipment.Clarification Request: For 850 people conference hall , professional sound design (line array speakers + auxiliary speakers + monitor speakers + bass speakers, etc.) is required. The sound requirements in the BOQ does not meet the conference sound standards. Please let us know if a professional sound design is acceptable.Response: The 850 person conference hall speaker arrangement and specification stated is the minimum. Any speaker arrangement and specification with a better specification isAcceptable.Clarification Request :4.Section III form C item 6: Delegate unit, cabling and associated back-end equipment.Clarification Request: The parameters state that the delegate unit need to be chair armrest mountable. . It also mentions that it must have a touch screen. Based on the actual usage, these two parameters are in conflict , either desktop microphone with touch screen or embedded mic in the armrest of the chair without touch screen. The one with a touch screen cannot be embedded into the chair armrest. Please explain.Response:The armrest mount delegate unit does not require a touch screen.Clarification Request :5. Section III form C item 17: Ceiling mounted speaker, cabling, devices and associated equipment.Clarification Request: For 90 people conference hall, the sound technical requirements is: 8ohm 100V 6W ceiling speaker, which cannot meet the conference hall sound standards. Please let us know if the High-end Conference Ceiling Speaker,100W @8Ω provided by our company is acceptable.Response: The 90-person conference hall speaker specification stated is the minimum. Any speaker with a better specification including power is acceptable.Clarification Request :6. Section III form C item 28&35: Ceiling mounted speaker, cabling, devices and associated equipment.Clarification Request: The technical requirements for Syndicate room 1 and Syndicate room 2 are: 8-ohm 100V 6W ceiling speakers, which cannot meet the conference venue sound amplification standards. Please let us know if the High-end Conference Ceiling Speaker,100W @8Ω provided by our company is acceptable.Response: The syndicate rooms speakers specification stated is the minimum. Any speaker with a better specification including power is acceptable.Clarification Request:7.Section III form C item 50 & 51: Feedback suppression system, cabling, devices and associated equipment for syndicate room 1; Feedback suppression system, cabling, devices and associated equipment for syndicate room 2.Clarification Request: Both Syndicate room 1 and Syndicate room 2 have only one microphone, so there is no need to use a feedback suppression system. Only the 850-person conference hall and the 90-person conference hall require feedback suppressionSystems.Response: Feedback suppression system is required for syndicate room 1 and syndicate room 2 as the syndicate rooms are planned to be operated by merging with the 90-person conference hall.

New clarification added: Dear Bidders, Please see below the clarifications provided against the request received from the interested bidder:Clarification Request: Hello, We are considering studying an RFP proposal for this beautiful project.The deadline is March 28. What is the estimated order date? what is the estimated delivery date of the project? And more generally, can we have visibility on expected deadlines?The number of equipment, particularly conference microphones, is significant and the manufacturing time can approach 10 to 12 weeks + transport. When the equipment is on site, it takes around 6 weeks for installation and start-up, or around 4 to 5 months once the order has been validated. Does this meet your expectations?Is there provision for an advance payment?Thanks a lot for your détails Response:The expected order date is mid April and as per the RFP requirement and due to tight project schedule the delivery date is 80 days. There will be no advance payment. Payment will be made after completion of all the required goods and services.

New clarification added: Dear Bidders, Please see below the clarifications provided against the request received from the interested bidder:Clarification Request: We hereby request your good office to clarify the following point from the bid document.  There is only a limited amount of information regarding submitting a proposal as a joint venture (JV). Regarding the minimum requirements stated on the bid document, for proposals submitted as a JV, are both the lead Partner and other partner/s expected to meet the criteria set on the bid document or is it acceptable if one of them meets the requirements? Please clarify.Response:As per the RFP requirement ;it is expected that both parties or all parties should meet all the eligibility, preliminary and qualification criterias.

Kindly extend the deadline for submitting offers by 2 weeks due to the size and complexity of this tender and the upcoming Easter holiday in Europe?Response:The RFP submission deadline is extended for an additional 10 days ( i.e. 28 March 2024 ). ( kindly check the amendment part of this RFP)  Clarification Request:2. When is the construction of the building scheduled to be finalized and when do you expect the installation to begin?Response:Construction of the building is expected to be finalized by 30 May 2024. Installation will begin 01 May 2024. The main contractor and the AV conference supplier have to work hand in hand. Clarification Request:3. Please confirm that all tubes / routes for hardware locations are done by Main-Contractors?Response:All tubes for hardware locations are done by the main-contractors.Clarification Request:4. Will Main-Contractors provide the necessary scaffolding / lifts and ladders for AV technicians?Response:Coordination with the Main Contractor is inevitable and mandatory. However, the AV supplier has to avail all the necessary equipment and tools as deemed necessary for the successful completion of the tasks within the scope of works.Clarification Request5. On the RFP Section_III_Returnable Bidding Forms (Technical Requirements) you have mention the requirements for the servers you are looking for starting from Table number 58 – Table number 61. The specifications that are stated in these table are not a server specification instead they are specification for workstation. So please confirm whether you are requesting workstation or server.Ø  If it is a workstation that you need, please clarify the storage spec. You have mentioned two specs for the storage of the product stated as “(Storage: 1TB NVME SSD; 2TB SATA2.0 )”. Please clarify this.Ø  If it is a server that you need, please revise the specification since the stated specification is not for a server and send us the detail specification for the servers you are looking for including the Processor (number of core, frequency), RAM, Storage, Network ports, power supply, Rack unit and OS if needed.Response:The specification for the servers and associated equipment should be provided  as per the stated minimum requirement.All the detail requirement for RAM,Storage , Network port…is provided. The minimum specifications are for server requirements and not for workstation as you mentioned. Clarification Request:2. On the RFP it is mentioned safety standard certificate is it for the product or the project implementor?Response:The safety standard certificate is for the product.Clarification Request:3. On the RFP it mentioned headphones for the chairman and delegate unit for the 850-person meeting hall but not for the 90-person meeting hall, and only the chairman unit is mentioned for the 90-person meeting hall, are the headphones and delegate unit not necessary for the 90-person meeting hall?Response:The delegate units and associated headphones are not necessary for the 90-person meeting hall.Clarification Request:4. In the RFP, the delivery of project time is mentioned as 80 days. Kindly extend to us the delivery of the project from 120-160 days.Response:Due to a tight project schedule bidders are expected to meet the delivery timeline of 80 days. Clarification Request:5. In the RFP, you specified CAT7, patch panel and fiber cable as Lump Sum without specifying exact the amount, can you please clarify.Response:The exact quantity of these items will depend on the specific technology to be proposed by the implementer. Therefore, it is up to the implementer to determine the exact quantity as per the provided concept drawings.

New clarification added: Dear Bidders, Please see below the clarifications provided against the request received from the interested bidder:clarification Request :Our compnay or our partner for this project is an authorized integrator for the products we plan to offer. We have letters either from the manufacturer in or the regional whosalers in USA.  Can we use the authorized integrator letters in place of the Manufacturer’s Authorization Form? We have used these types of letters in the past for UN proposals but want to double check for this one.Response:Kindly be informed that Bidders are expected to provide the required document as per the evaluation criteria stated under the Bid document.
